Steps to take to automate your data subject requests into Jira tasks
Each regulation has different requirements for your organization to reply to a user's data subject request, instituting fines against organizations that do not handle requests by a given deadline. Because of this, it is important for your organization to stay on top of all of your data subject requests and provide responses promptly. While the Clym portal equips you with the tools to manage and respond to all of your DSRs directly from the interface, teams that use Jira to manage organizational tasks may wish to integrate Clym and Jira so that new DSRs are automatically turned into tasks. There are numerous benefits to integrating the two tools, such as being able to assign the requests to your team, and added visibility into your team's collective effort.
Integrating Clym and Jira is an easy 3-step process:
1. Add incoming mail server
Please sign in to your Jira account. Click the settings wheel in the top right corner. From the settings menu, below Jira Settings, select System.
From the left side menu, select Incoming Mail.
Click Add incoming mail server.
In the pop-up window, add a Name and Connect a custom email account by signing in with your preferred method.
2. Add incoming mail handler
Next, below Mail Handlers, select Add incoming mail handler.
In the pop-up window, add a Name and select the Incoming Mail Server that you have created above in step 1.
From the Mail Handler Type drop-down, select Create a new issue from each email message.
3. Set criteria for each new "issue"
In the Project drop-down, please make sure the correct project is selected. In the Issue Type drop-down, you may choose any issue type that works best for your organizational needs. In the Catch Email Address field, add the email address that your organization has set to receive data subject request notifications.
Please note: It is recommended to use a designated email address that is designed to receive data subject requests. Otherwise, the system may include other emails sent to this address that are unrelated to data subject request notifications.
From the Bulk drop-down, select Accept the email for processing.
Add a Default Reporter that will appear on each Jira issue created. Click Add.
That's it! Your data subject requests should now integrate directly into your Jira account.
